What you will be doing in this role
This is a newly created role, reporting to the Chief Medical Officer (CMO) where you will provide high-level executive and administrative support to ensure the smooth day-to-day operation of the Office of the CMO. This is an on-site role, ideal for an experienced professional who thrives in a fast-paced environment, enjoys building strong relationships, and is confident using digital tools and technology to improve workflow efficiency.
In this role you will:
- Support a digitally enabled executive office using Microsoft Teams, SharePoint and emerging AI tools.
- Identify and implement process improvements to enhance administrative efficiency.
- Coordinate meetings, agendas, papers, minutes and follow-up actions for key medical governance committees.
- Support doctor engagement communications including newsletters, memos and updates.
- Assist with medico-legal and complaints processes, including preparing correspondence and legal liaison.
- Track actions, timelines and deliverables across multiple priorities.

Who we are looking for
You are a highly organised and adaptable Executive Assistant or Senior Administrator who thrives in a role that requires agility, sound judgement and the ability to remain calm and organised while managing shifting priorities and tight timeframes. You will be proactive, solutions-focused and confident working with a high degree of autonomy.
Along with your bright, positive and collegial approach, you will bring:
- Previous experience in a similar administrative role, ideally within healthcare or a complex environment.
- Strong written communication and stakeholder engagement skills including confidence communicating with senior clinicians and executives.
- Excellent organisational skills and attention to detail.
- Confidence using Microsoft Office, Teams, SharePoint and other digital platforms.
- Interest in AI and technology-driven process improvement.
- This in an on-site role, where you will become embedded and cherished as part of our collaborative team. Ideally, you’ll have flexibility to attend occasional evening committee meetings.
