What you will be doing in this role

Join our busy 29-bed acute surgical ward (internally known as the Butler Ward), where you’ll play a vital role in supporting our dedicated team and ensuring the smooth running of the ward. Your exceptional customer service, attention to detail, and compassion will be key in making a positive impact. In this role, you’ll be essential in managing the day-to-day administrative functions while providing valuable support to our clinical teams.

You’ll help ensure the ward operates smoothly by managing incoming and outgoing correspondence, organising and maintaining documents, and keeping office supplies well-stocked. You will also take responsibility for monitoring patient discharges, ensuring medical records are up-to-date, and organising all necessary paperwork for patients.

In addition, you’ll oversee the ordering of medical stock, office supplies, and food for the ward’s kitchen, ensuring that all resources are available when needed. You’ll be the friendly face who warmly greets patients, visitors, and families, helping to create a clean, welcoming, and safe environment for all.

This is a permanent 0.8 FTE role, working Monday to Friday, 6.5 hours per day but open to negotiation.

Who we’re looking for

This role is ideal for someone who enjoys connecting with others, takes pride in delivering accurate, high-quality work, and thrives in a fast-paced, patient-centred environment. Experience in a healthcare setting is highly valued, as it demonstrates familiarity with medical terminology and the dynamics of a clinical space.

You’ll have:

  • Previous experience as a Ward Clerk or in a similar role in a healthcare setting (highly desirable).
  • Proven experience in customer service with excellent verbal and written communication skills.
  • A professional manner and strong customer service focus.
  • You’ll be confident and have initiative, allowing you to make decisions independently.
  • Competent in Microsoft Word, Excel, and basic computer functions.
  • Ability to remain calm under pressure and follow instructions in a fast-paced environment.
  • Enthusiastic and able to foster a welcoming, reassuring atmosphere.
  • Certificate IV in Administration or a similar qualification (desirable).

Above all, you will bring a warm, empathetic approach and a strong commitment to providing an exceptional patient experience.
